## **“It has revolutionized our day-to-day life”**  

[Mason &amp; Fifth](https://mason-fifth.com/) offers flexible hospitality for guests who want more than simply a place to sleep. Aoife Walter, Sales Manager at Mason &amp; Fifth, describes it as “bed-led hospitality to the extreme. Everything under one roof.” From long- and short-term studios to on-site amenities, guests can “stay as long as they like” and become part of the community around them.

Aoife oversees the full in-person sales journey, as well as the platforms that support it. Oneflow has become an important part of that work. “One of those platforms has been Oneflow, which has revolutionized our day-to-day life,” she says.

 

 

## ****The challenge: contracts were slowing down deals****  

Before Oneflow, Mason &amp; Fifth relied on a signature-focused tool and a process that demanded a great deal of hands-on work. “You obviously had to create the contract yourself every single time you sent it,” Aoife explains. “It was taxing. It was time-wasting. It was very ineffective, basically, for our day-to-day processes.”

Even with templates in place, each agreement still had to be handled individually. “It was a case-by-case basis,” Aoife says. “You create that contract from scratch. Obviously, we had our own templates and we did what we could to mitigate the effects of that, but it’s not the same.”

The impact reached beyond administration. “It would slow down deals,” Aoife says, and some guests “found it difficult to use on their end.” For a hospitality sales team, that friction arrived at exactly the wrong moment: “This part of the sales flow needs to be the quickest part, needs to go out within five minutes of confirmation that we’d like to go ahead.”

 

 

## ****The solution: a faster flow connected to HubSpot****

Mason &amp; Fifth chose Oneflow after a recommendation from someone the team trusted. “Once we’d been recommended Oneflow by a friend and it had been spoken so highly of, I don’t think we wasted any time,” Aoife says.

Today, the team uses ready-made templates instead of maintaining a bank of separate contract files. “We have these gorgeous, amazing templates that we use and can send really efficiently,” Aoife says. “It’s basically just sped everything up.”

The HubSpot integration keeps the process in the system the sales team already uses “every 20 minutes.” Guest and deal information maps into the right agreement automatically: “I have to basically just choose which contract I want, make a few edits and then send it off.”

That connection removes unnecessary switching and duplicate work. “We’re not flitting between loads of different platforms,” Aoife explains. “We stay on the one screen and it’s super efficient.”

## **Why Oneflow?**

For Aoife, the HubSpot integration is the feature that makes the biggest difference. “If I didn’t have that integration with HubSpot, it would add in two more steps, which is too many for closing up a deal,” she says. “That is the thing that takes all the time out of it.”

Ease of use came a very close second. “It has an incredibly easy-to-use user interface,” Aoife says. “It’s simple, it’s effective, it’s beautiful.” That simplicity allows the team to create and adjust templates without turning every change into a technical project.

The ability to customize agreements also helps Mason &amp; Fifth carry its identity through to the signing experience. “The branding offers so many more opportunities,” Aoife says. “We can really get across what Mason &amp; Fifth is all about within the templates themselves.”

 

 

## ****The results: faster agreements and simpler renewals****

With around 40 contracts signed each month by a two-person team, time saved on each agreement quickly adds up. “It happens all the time,” Aoife says, but the team can now duplicate agreements and carry information across when a guest renews or dates change. “Oneflow makes that as easy as possible because you have all the information.”

That flexibility matters because Mason &amp; Fifth wants to accommodate guests on a case-by-case basis. Rather than rebuilding an agreement, the team can make a small adjustment and resend it. “Even re-signing dates is just a two-minute job,” Aoife says.

The experience is easier for guests, too. “It’s easy to use from my perspective and for the guest, which is the priority,” Aoife explains. “If the guest feels comfortable and is able to sign quickly, then that’s what we’re all about.”

Guest feedback is often invisible—and that is exactly the point. “No feedback, which I think is good feedback,” Aoife says. “They should say nothing and sign immediately, so in my line of work, silence is the best feedback.”

 

 

## ****Better information for the wider business****

Although sales is the main Oneflow user, the benefits do not stop there. By adding the right fields to agreements and syncing information with HubSpot, Mason &amp; Fifth has gained a clearer view of its guests. “We have a much clearer idea of our customer profile because of Oneflow,” Aoife says.

Those insights have improved conversations beyond sales. “It has improved our communication with marketing,” Aoife explains. “We now know more about our ICP and where we go from there.” The information gathered through Oneflow, she adds, “has been disseminated across all the departments in our company.”

Reporting has also become more useful as Mason &amp; Fifth learns how guests differ across its locations and offers. “Understanding the differences and nuances between guests across all those sites is something that Oneflow helps us do,” Aoife says. “Reporting has changed massively; it’s been revolutionized.”

 

 

## ****More time to focus on the community****

The time saved on contract admin gives the sales team space to look more closely at its guests, its offer and what works across each site. “We’ve been using that time to investigate the customer profile more and our offering and how that actually resonates with the people on site,” Aoife says.

That has changed the focus of the role. “We’re much more strategic. We’re much more curious,” Aoife explains. “It’s basically just changed the focus from that to building the community.”

Mason &amp; Fifth is now focused on building on the growth of its Westbourne Park opening and strengthening its presence across London.
