It began with a need to cut down on paperwork. For The Assessment Company, a forward-thinking consultancy with deep expertise in strategy, skills development and recruitment, it was time to say goodbye to manual processes, endless emails and PDFs. They wanted something better – and they found it in Oneflow.
“We’re good at assessing people. But our contract flow? That needed a proper assessment too,” says Steffen Bye Vangen, CTO of the company. The result was a move to Oneflow and a digital setup that gives them speed, flexibility and flow.
Contract process facing headwinds
The Assessment Company helps organisations set the right course. They provide services in strategy, organisational development and recruitment, often in combination. With an experienced team and a strong reputation in the market, they are a trusted development partner for both private and public sector organisations. Recruitment remains their largest business area, but all their services are built on the same foundation: creating change that lasts.
Ironically, their own contracting process wasn’t fully aligned with their ambitions.
“We handled most of it manually. It involved a lot of emails, PDFs and copy-and-paste,” says Steffen. “We felt the solution we were using wasn’t up to scratch; it lacked flexibility, customisation and didn’t feel particularly accurate for the person signing the contract.”
Three requirements: Full integration, flexibility and trust
The search for a new tool was no accident. They had a clear set of requirements:
- It had to integrate with existing systems, especially Hubspot.
- It had to be flexible and customisable, so they could design their own flows.
- It had to inspire confidence, both internally and with customers.
“An important factor was that it’s a Nordic solution, which builds trust and gives us something to present to customers. We looked at several options, and Oneflow quickly stood out,” says Steffen. “It’s Nordic, it’s consistent – and it felt right.”
Oneflow ticked all the boxes
The choice landed on Oneflow, without the need to test many other options in depth. The solution met their requirements straight away. And the most important thing of all? They were able to get started immediately and build their own flows without waiting for consultants or developers.
“We did a lot ourselves and the implementation was very quick. The ability to be self-sufficient and build our own data feed saved us a great deal of time. The way the integration with HubSpot was set up meant we could take ownership of the process and optimise as we went along,” says Steffen.
Full marks for usability
Everyone at The Assessment Company uses Oneflow. The commercial team are the biggest users, but the trainee programme, supplier management and, increasingly, internal recruitment also rely on the tool.
“It’s a tool you use once and it sticks. People understand how it works straight away, and it just flows,” says Steffen.
With 20–30 contracts a month – and counting – it’s essential that the process is both robust and intuitive.

How the integrations work
Oneflow + HubSpot = Automated flow
Here’s the magic in action:
- A deal is moved to “Solution Proposal” in HubSpot.
- Oneflow automatically creates a contract using data from the deal via the HubSpot integration.
- The customer receives the contract for signing, with all the information already in place.
- Once signed, the deal is automatically set to “Closed Won”.
- At the same time, it triggers new processes in project management, resource planning and Teams.
No manual effort. No duplicate entry. Maximum control.
Oneflow + Teamtailor = Perfect for recruitment
Particularly within the trainee programme “Trainee Innlandet”, the Teamtailor integration has been a real boost. Contracts for both trainees and companies are sent via Oneflow – fast, secure and fully traceable.
The effect? Time regained and control over the future
The impact of Oneflow is felt across the organisation. It’s not only about spending less time on administration, but also about improving quality, enhancing the customer experience and generating better data.
Steffen explains: “The biggest gain is the time we save in our dialogue with customers. We now have a single document we all work in, no endless emails and PDFs back and forth. We save a great deal of time and present ourselves more professionally. The flow is smoother, and we get higher data quality, better documentation and full traceability.”
Automation boosts capacity without extra hires
With more efficient processes, the team can take on additional assignments without the need for extra administrative staff.
“It’s had a great impact. We’ve achieved greater efficiency per employee. There’s simply less wasted time and more value delivered to customers,” says Steffen.

Internal enthusiasm and genuine ownership
Employees are pleased – and that’s not always the case when new systems are introduced. They particularly value the integration with HubSpot and the automation of follow-up tasks.
“The best thing is that you don’t have to enter data in several places. Everything is done automatically. There’s less to remember and fewer errors that can creep in,” says Steffen.
Ready for growth – and ready for anything
The Assessment Company has strong growth ambitions, and Oneflow is an important part of their strategic foundation. With its professional approach, technical openness and solid methodology, they are well placed for further expansion.
“When we open new offices, we can roll out the entire digital setup – including Oneflow – and be operational from day one. This cuts down start-up time,” says Steffen.
What have they achieved? Here are some of the highlights
- Up to 30 contracts per month, fully automated
- Seamless integration with HubSpot and Teamtailor
- Full self-service – up and running without consultants
- Improved data quality and traceability
- Significant time savings and reduced administration
- Ready to scale and open new offices
