Briab is not a traditional consulting firm. Wanted to do something different
“Briab is a fast-moving and very dynamic company, and you can see that in our history. We were founded by a few fire engineers who wanted to do something different – deliver more customer value than the industry was used to. Today, we’re the largest in our field, but we still work the same way: close to the customer, with our eyes on the future,” says Daniel Friberg, Business Manager at Briab.
With a strong focus on sustainability – both environmental and business – Briab has positioned itself as a key player in the green transition. But staying at the forefront requires more than just technical expertise. Internal processes also need to be top-class.
The Insight: The right system support is crucial
Briab already had digital solutions in place but realized they didn’t reflect their agile way of working. The systems worked, but not in the way the organization needed. Most of all, they lacked flexibility and support for efficiently handling complex proposal and contract workflows, especially for the consultants who also manage client relationships.
“We had a good system, but it locked us into a way of working that didn’t reflect our culture or how we operate,” says Daniel. “We’re a consulting firm where the client relationship is central. Our consultants are in direct contact with clients; we don’t have a traditional sales department. We needed a flow where it was easy for them to create a proposal, without feeling like the technology was getting in the way.”
Internally, they began defining what was really needed:
- An interface that was simple and intuitive
- A flexible platform that could reflect the company’s way of working
- A system that could be adapted for different parts of the organization, like HR, Finance, Sales and Marketing
- And above all – something that could integrate with the systems they were already using
Oneflow not only met these requirements but also offered the potential to improve the entire internal business flow. “We put the system to the test and looked at several alternatives. But what we liked most was Oneflow’s view of flow – that the system should always move you forward, that you should never have to click back or get stuck in technical steps. That was completely in line with how we wanted to work,” Daniel says.
A seamless workflow, from initial contact to invoice
Today, Oneflow is fully integrated into Briab’s customer journey, from the very first contact to the final invoice. The journey begins in the CRM system (Customer Connect), where the business opportunity is identified. From there, the proposal moves into Oneflow, where it’s edited, customized, and most importantly: co-created together with the client.
“Our projects are often large and constantly evolving. It could be new construction or renovation where conditions change along the way. Being able to update the proposal with the client in real time has been a game-changer,” says Daniel.
Once the proposal is approved, the information automatically flows into the project management system and then into the finance system (Rexor). All of this happens in one connected digital flow, without copying and pasting between different tools or exporting and sending PDFs back and forth.
Integration as a strategic tool
It wasn’t just the user-friendliness that impressed. Oneflow’s technical capabilities played a key role. With an open and well-documented API, Briab’s development team was able to quickly build custom integrations with their other systems.
“We built a fully custom integration with our systems, and our developers were pleasantly surprised by how smoothly it went. Normally, you expect integrations to take three times longer than you first estimate. Here, it was almost the opposite,” says Daniel. “It was clear, easy to work with, and we received great support from Oneflow.”
By using Oneflow’s standard API, and with support from Oneflow’s team, Briab was able to tailor the flow exactly the way they wanted it. CRM, Oneflow, project management, and finance—all systems communicate with each other.
“That’s really the whole point: we don’t want to jump between tabs, export PDFs, or keep track of parallel versions. With Oneflow, it feels like we’ve got a system that understands its role in a bigger context,” says Daniel.
This doesn’t just save time, it also provides:

“It’s about control, traceability, and scalability. We can follow the entire chain, reuse data, and ensure nothing gets lost. That’s especially important in our industry, where complex projects demand precision and documentation,” Daniel explains.

Briab’s use of Oneflow doesn’t stop at the proposal process. Today, it’s used widely across several parts of the organization:
- HR uses it for employment contracts and onboarding
- Finance manages supplier agreements and approvals
- Sales & Marketing drives business flows and customer interactions
The system handles different roles, permissions, and processes without conflicts. That was an important factor during procurement.
“We had a procurement group with representatives from HR, Finance, IT, Sales, and Marketing. Everyone had their own requirements. The fact that Oneflow could meet everyone’s needs—and still be easy to use—was crucial.”
