Knowit is a leading Nordic consultancy with offices in Sweden, Norway, Finland, Denmark, Poland, and Germany. Christian Martinsen, Chief Commercial Officer at Knowit, shares how Oneflow has transformed their contract management across departments, projects, and markets.
“We work with a wide range of clients, from small and mid-sized businesses to large international organizations. Contracts are at the core of how we deliver our services, whether it’s client agreements, supplier contracts, or employment agreements,” says Martinsen.
Before Oneflow: Manual processes and a lot of frustration
Before Oneflow, contracts were created in Word, sent over email, and stored in scattered folders. This manual process was both time-consuming and hard to manage. It often led to confusion about which version was the latest, and the signing process dragged on—with constant reminders and follow-ups.
“We lost time, control over different versions—and in the worst cases, even important documents. It was a cumbersome and inefficient process,” he explains.
It also became increasingly clear that the lack of visibility and control was a bottleneck in the contract process. Multiple departments were involved, but without a shared system, collaboration became unnecessarily complicated.
Choice of solution: User-friendly, flexible, and integrated
When Knowit began exploring options to digitize their contract management, the requirements were clear. The solution had to be easy for the entire organization to use—not just the legal team. It also needed to be flexible enough to handle a wide variety of contract types and support real-time collaboration.
But perhaps most importantly: it had to integrate with the systems Knowit was already using. That’s where Oneflow stood out, with smooth integrations to both HR and CRM tools, including HubSpot, which plays a key role in their sales processes.
“Thanks to the HubSpot integration, we no longer have to manually enter customer data into contracts. It’s faster, and we avoid errors. The same goes for HR, where we use Oneflow for employment agreements,” says Martinsen.

The implementation of Oneflow was a close collaboration between Knowit’s project team and Oneflow’s onboarding team. According to Martinsen, the process was smooth and efficient, with great training and immediate value.

Today, Oneflow is used widely across the entire organization, from sales to board meeting minutes, general assembly records, and partnership agreements. Every contract is handled in one unified system—from creation to signing and archiving—completely transforming how Knowit works with contracts.
Simpler, faster and with full control
Since implementing Oneflow, Knowit has fully digitized and streamlined its entire contract journey. What used to take several days can now be done in just a few hours.
“We’ve saved a huge amount of time, especially on follow-ups and admin. We now get automatic reminders and have real-time visibility into the status of every contract.”
Martinsen also highlights how cross-team collaboration has improved:
“Before, it wasn’t always clear who had the latest version or where in the process a contract was. Now everyone sees the same thing, and that transparency brings a sense of clarity we didn’t have before.”
Oneflow has also made everyday work easier for employees. The ability to edit contracts directly in the system, send them for approval and signing, and track the entire process in real time has made the tool indispensable.
“People are genuinely happy with it. It’s an intuitive tool that does what it’s supposed to—and it works,” he says.
An important piece of the puzzle for future growth
Knowit sees Oneflow as a strategic investment for continued growth and development. As the company expands, having tools that can scale without losing control or quality becomes increasingly important—especially those that also support compliance.
“We’re now looking into connecting Oneflow more closely with our delivery and quoting tools, and exploring ways to further automate renewals and reminders. We also want to start using the reporting features to gain better insights and work more data-driven.”
