Lavonia specializes in staffing services for the construction and building materials industry and has been operating since 2008. The company’s headquarters are in Espoo, Finland, but its operations cover the entire country. Depending on the season, Lavonia employs around 150 to 200 professionals — most of them coming from outside Finland.
The construction market has faced challenging years, but Lavonia’s focus is firmly on the future. The year 2025 has already shown signs of recovery, and Jesse Heija, Lavonia’s Sales and Recruitment Director, remains optimistic about the years ahead:
“The construction sector is still lagging behind, but the end of 2025 and 2026 are looking a lot brighter. We have ambitious growth goals and a strong drive to outperform the industry. That’s why having a solid contract platform is so important — we need to be able to make more deals, and the whole system has to run like a well-oiled machine.”
Challenge: Contract management was fragmented and difficult to track
Before Oneflow, Lavonia’s contract process was complex and, at times, chaotic. Contracts were sent back and forth via email as attachments in different formats — Word documents, PDFs, and multiple versions circulating in various places. It was a familiar situation for many companies without a dedicated system for managing contracts.
“Managing the whole process was heavy and time-consuming. We could never be certain that management had the latest version of a contract. That lack of control was a real problem — it cost us not only money but also time,” Heija explains.
Solution: Oneflow and seamless HubSpot integration
Lavonia adopted Oneflow several years ago. The decision was based on a recommendation — in the end, there was no real need to compare alternatives.

Since implementing Oneflow, Lavonia’s contract process has been transformed. The approval flow is now clear, documents are under control, and the entire contract lifecycle is fully secured.

The customer receives it within 30 minutes to an hour at the latest. That’s important in our industry — customers can’t be kept waiting for days.”
The system automatically reminds of missing signatures, which has reduced delays. Heija reports that hundreds of contracts are now made annually, and team transparency has improved significantly:
“Now our finance team can easily check whether a contract has been signed and what’s been agreed,” he explains. “It’s increased collaboration and reduced unnecessary emails. Everyone can see exactly where things stand.”
The HubSpot integration has become the backbone of Lavonia’s operations, keeping every department aligned and up to date on all contracts.
“It affects everything,” Heija emphasizes. “Our work simply wouldn’t be possible without it.”

Over the past six months, Lavonia’s HR team has adopted Oneflow more actively as part of its daily work. Employment contracts are now signed in advance, making a new employee’s first day smoother and far less stressful.
“When a new employee comes to the office to pick up their work clothes, the contract has often already been signed and reviewed beforehand,” Heija explains. “On that first, nerve-wracking day, they don’t need to read through a ten-page agreement — everything is already clear. It’s made the process faster and much more pleasant for everyone involved.”
With the help of Oneflow, Lavonia has been able to divide HR’s workload into smaller, more manageable parts. Tasks can now be handled anytime, anywhere — securely and efficiently.
