Contract reminders

A beautiful thing about the world we live in today is that technology is there to help us out. And make life easier for us. That’s especially true for Oneflow and your productivity when it comes to contracts. We all need reminders from time to time, in all areas of life.

Contract automation is a top of mind issue for business leaders this year. Automating contract workflows is a way to save money, time and have businesses work more efficiently. What gets lost in that sentence sometimes is just exactly how contract automation and Oneflow help.

Well, there are a few hacks which we want to share with you that will definitely help you work more efficiently with your contracts. With these hacks, you’ll never have to worry about missing a contract update, event or have something fall through the cracks.

After reading this article, you’ll have a better understanding on how contract automation can help your work smarter, more efficiently and have a positive impact on your bottom line. Or you can watch a video about these hacks on our youtube, where you can find plenty of other valuable videos like this one!

Contract lifecycle events

As we consistently say here, contracts are more than just signing. There’s a whole lifecycle that come with contracts. And at Oneflow, you’re able to manage the post signing lifecycle events in a neat and orderly fashion.

For instance, there are contract signing periods that you can include in your contract, so that after let’s say, one year passes, the contract needs to be renewed. Or not renewed if circumstances change. With Oneflow, you’re able to insert those periods into your contracts so that you have more control over the contract process as when you insert a validity period, you are set up for automatic reminders that flow to your email.

The emails will remind you when the contract is set to expire, before the expiration date. However, it’s up to you to determine how long before a reminder email should be sent out. These automatic reminders for contract lifecycle events give you more transparency into your contract process, and give you control to ensure that you don’t miss a lifecycle event.

With automatic reminders, you’ll be on top of every contract after it’s signed as all reminders will land in your inbox.

Custom internal reminders

On top of automatic reminders, Oneflow’s contract management platform gives you the ability to create your own internal reminders for contract events. These differ from automatic reminders in the sense that they are set up by you and your team, and delivered only to internal people.

Internal reminders can be set up for any contract. All you have to do is determine how long before a contract event occurs that you want your internal team to be reminded. For example, say 60 days before a contract expires, you can set up a reminder so that those involved with that contract are notified about it.That way, there’s no surprises or deadlines and renewal dates aren’t missed.

Even people who weren’t apart of the initial signing process can be sent internal reminders. So a sales person won’t be involved with the customer for too long after they’ve become a customer. But your customer support team will want to know when it’s time for them to renew their contract. That’s where in the internal reminders you’d add the support agent responsible for them, rather than the seller who closed the deal. It give your organization the ability to ocme in and out of the contract process while staying in the know the whole time.

Filters and calendar view

We are all human. And we like looking at calendars. It’s been a thing we’ve done since calendars were invented. It’s a couple millennia old habit at this point, and it’s likely not going to change anytime soon.

That’s why we have the calendar view inside of Oneflow. With this view, you can see all contract events that are coming up in the set time range. You can filter by date, events or other traits that are associated with your contracts.

For example, if you want to see when your NDA’s expire, you can sort by that filter. Or if you want to know how many contracts are due for renewal in July, you can also see that by filter and calendar view.

The calendar view is color coded and different events will be tied to colors. It’s an aethestically pleasing way to see your contract events that are coming up! Then you can plan ahead accordingly and know what steps to take.
