Staffing and recruitment within logistics, warehouse, industry, and port operations

“Many of our customers experience rapid fluctuations in their needs, so flexibility is very important.”

DFDS Professionals AB is a recruitment and staffing company within the DFDS Group, specialized in warehouse, logistics, industry, and port operations. It’s not just about finding people, but about finding the right competence in an environment where needs often change quickly.

“Many of our customers experience rapid fluctuations in their needs, so flexibility is very important.”

The company primarily works with customers in southern and central Sweden and handles around 100 contracts per month. This makes contract management a central part of the business.

A strategic decision from the start

From the very beginning in 2021, DFDS Professionals chose to work with a digital contract management tool. The choice fell on Oneflow.

“We wanted to build a modern and scalable business from the start, and digital contract management was a natural part of that.”

Instead of building manual ways of working and changing them later, the right structure was put in place from day one.

“It was important for us to have a smart and simple system in place from the beginning.”

Avoiding classic challenges

Because Oneflow was implemented from the start, DFDS Professionals never had to deal with the usual contract-related challenges.

“We knew what it usually looks like otherwise, with a lot of back-and-forth emailing, different versions of contracts, and quite a lot of administration.”

A particularly important part was the signing process.

“The signing stage is often where things get stuck. Being able to send out contracts and get them signed smoothly, securely, and digitally was crucial for us.”

Efficient workflows with templates and integrations

Today, consultants and sales teams use Oneflow in their daily work, mainly for customer contracts and agreements related to staffing and assignments.

The workflow is structured and efficient:

  • Contracts are created from ready-made templates depending on the customer, geographical area, or contract type
  • Data is retrieved from the business system Intelliplan
  • The contract is sent directly to the consultant or customer for digital signing

“Most templates are already set up in our system, which means we don’t have to start from scratch every time.”

The integration with Intelliplan allows data to be reused, reducing both duplicate work and the risk of errors.

“We avoid double registration and reduce the risk of errors.”

“It’s a very simple way to create structure and efficiency in contract management, especially if you have high volumes.”

Less administration, more focus on the business

One clear effect of Oneflow is that administration has been kept at a low level, despite a relatively high contract volume.

This means:

  • Less manual work in every step
  • Faster processes from contract creation to signing
  • Reduced risk of human error
  • More time for customer dialogue and candidate work

“We save time in every step of the process. It’s a clear difference compared to manual ways of working.”

The time saved is used where it creates the most value.

“We can spend more time on the business, meaning customers and candidates.”

A smoother experience externally as well

The efficiency is not only internal, but also noticeable for candidates and customers.

“Many candidates appreciate that it’s simple and smooth to sign digitally.”

The fast and simple signing process ensures that contracts don’t become a bottleneck in the business.

Built for continued growth

Looking ahead, the focus is on continuing to grow, but in a controlled and scalable way.

“For us, it’s about being able to handle larger volumes without increasing administration at the same pace.”

DFDS Professionals sees Oneflow continuing to play an important role.

“By continuing to simplify our processes, we can handle larger volumes without growing administration at the same pace.”

“A simple way to create structure and efficiency”

When Pierre is asked what he would say about Oneflow to other companies, the answer is clear:

“It’s a very simple way to create structure and efficiency in contract management, especially if you have high volumes.”

And perhaps most importantly:

“Making the right decisions about system support from the start makes a big difference. It saves a lot of time and headaches later on.”
